SaaS
Accounting for SaaS companies built on a Romanian SRL.
Subscription billing, customers in twenty countries, revenue that arrives before it is earned — SaaS accounting has its own physics, and a generalist bookkeeper usually gets it wrong quietly.
The SaaS-specific problems we solve
Where subscription software differs from a normal service company.
| Topic | How we handle it |
|---|---|
| Stripe as the revenue source | Billing events, refunds, disputes and fees are booked from Stripe reports and reconciled to bank payouts — the statement alone never tells the story. |
| EU B2B customers | Intra-community services need ROI/VIES registration, VIES validation of each business customer, and D390 reporting. Reverse charge means invoicing without Romanian VAT when conditions are met. |
| Non-EU customers | Sales outside the EU follow their own place-of-supply logic — we map your customer geography once and apply the rules consistently. |
| Prepaid subscriptions | Annual plans paid upfront are earned over the service period, not at payment — deferred revenue is set up to match your billing model. |
| Software development activity | Where development or R&D activity may open tax treatment worth examining, we flag it against the conditions in force — no promised percentages here. |
What the service includes
- Full monthly accounting and statutory filings for your Romanian SRL.
- Stripe (and other PSP) reconciliation as a standard monthly routine.
- VAT compliance for cross-border services: ROI/VIES registration, VIES checks, D300 and D390.
- Deferred revenue treatment matched to your subscription model.
- Payroll and REVISAL when you hire developers in Romania.
- An English monthly summary a founder can actually read: revenue, taxes, runway-relevant numbers.
The VAT machinery behind all of this — rates, returns and registrations — is described on our VAT accounting page.
Numbers a founder can steer by
Statutory accounts answer what the state asks; they do not answer what a founder asks. Because we book revenue from your billing data rather than from bank arrivals, the monthly summary you get maps to how you already think about the business — what was invoiced, what was collected, what sits in deferred revenue, what the company owes in taxes and when. Investors and accountants stop speaking different languages, and your Romanian books stop being a black box you only open at year end.
Founders abroad, company in Romania
Most of our SaaS clients run their Romanian company remotely — a setup we support end to end, from powers of attorney to dividend paperwork, described on the foreign-owned companies page. If the company is brand new, start with our new-company setup service so the tax vector, SPV and e-Factura are configured before the first subscription bills.
Frequently asked questions
- How is selling SaaS to EU business customers handled for VAT?
- Cross-border B2B services within the EU generally shift the VAT accounting to the customer under the reverse charge mechanism — you invoice without Romanian VAT and the customer self-accounts in their country. It depends on valid VAT registration on both sides, which is why VIES validation and ROI registration are part of the setup.
- Can you work from Stripe billing data?
- Yes. Subscriptions, upgrades, refunds, failed payments and processor fees all live in Stripe reports, not in your bank statement. We reconcile the Stripe layer to the ledger monthly, so revenue and fees are booked from the source of truth.
- What about annual plans paid upfront — is that all revenue now?
- Cash received is not the same as revenue earned. Amounts invoiced ahead of the service period are recognized over time rather than at payment, and we set the treatment up correctly for your billing model so your accounts reflect reality.
- Are there tax incentives for software development in Romania?
- Romania has had various incentives relevant to software and R&D activity over the years, with conditions that change and depend heavily on your specific setup. We flag what may apply to your company at the review date rather than promising numbers here — ask us during onboarding.
