E-commerce
Accounting for e-commerce companies in Romania.
High transaction volume, payouts that never match sales, VAT in several directions and e-Factura on top — online selling is a specific accounting discipline, and we treat it as one.
Why e-commerce books go wrong
The failure modes we see when online sellers arrive from a generalist accountant.
| Problem | What correct handling looks like |
|---|---|
| Payouts booked as revenue | A Stripe or marketplace payout is sales minus fees, refunds and reserves. We book from the processor reports, so revenue, fees and refunds each land where they belong. |
| VAT applied by guesswork | Domestic sales, EU B2C under OSS, and marketplace-facilitated sales can each need different treatment. We map every channel once, then apply it consistently. |
| e-Factura as an afterthought | Invoices must flow through ANAF's system and reconcile with the books. We set the invoicing chain up properly — at volume, fixing it later is the expensive path. |
| Inventory ignored | Goods bought, stored and sold need stock accounting. We scope it explicitly on the Custom tier instead of pretending a service-company package covers it. |
What the service includes
- Monthly bookkeeping built on marketplace and PSP reports, reconciled to bank payouts.
- Full VAT compliance — returns, statements and threshold monitoring — through our VAT service.
- OSS assessment and filings for EU B2C sellers.
- e-Factura setup and monthly reconciliation against your books.
- Inventory and cost-of-goods accounting for stock-holding sellers (Custom tier).
- A monthly English summary: sales, fees, VAT position and what to pay.
The VAT layer deserves its own read if you sell cross-border — see our VAT accounting service for rates, returns and how OSS fits, and the e-Factura guide for how mandatory e-invoicing works.
Refunds, disputes and the monthly close
E-commerce revenue is never final on the day of sale. Refunds, chargebacks and disputed orders arrive weeks later, often in a different month than the original transaction, and each one has to be matched back to its sale and to its VAT treatment. A monthly close that ignores this quietly overstates revenue and misstates VAT — until a return period has to be corrected. Our close treats refunds and disputes as first-class events: they are booked against the right period, the VAT position is adjusted, and the summary you receive shows gross sales, deductions and the real net, not a flattering approximation.
Selling from Romania, living anywhere
Many of our e-commerce clients are foreign owners running a Romanian SRL from abroad. The whole workflow is remote: reports come from your platforms, filings go through SPV, and questions get answered in English. Where you live has no bearing on how clean your books are.
Frequently asked questions
- Can you reconcile Stripe, PayPal and marketplace payouts?
- Yes — this is the core of e-commerce bookkeeping. Payouts arrive net of fees, refunds and reserves, so the bank statement alone never matches your sales. We work from processor and marketplace reports and reconcile them to the ledger every month.
- Do I need OSS if I sell to consumers across the EU?
- If you sell B2C into other EU countries, the OSS (One Stop Shop) scheme lets you declare the VAT on those sales through a single return instead of registering in each country. Whether and when it applies depends on your volumes and setup — we assess it and run the filings if it fits.
- How does e-Factura affect an online store?
- e-Factura is Romania's mandatory e-invoicing system: invoices flow through ANAF and your books must reconcile with what the system shows. For sellers this means invoicing has to be set up correctly from the start — volume makes retrofitting painful.
- Do you handle inventory accounting?
- Yes, for clients on our Custom tier — stock accounting adds real workload (goods movements, inventory counts, cost of goods) and we scope it honestly rather than squeezing it into a small package where it would be done badly.
